Job Description:



Provide secretarial, administrative and logistical support to the country director when needed. Enhance the CD`s effectiveness by providing information management support; representing the CD to staff and those external to the organization.KEY AREAS OF ACCOUNTABILITY:

  1. Assist the CD by producing information by transcribing formatting, inputting editing retrieving coping, and transmitting text, data and graphics.
  2. Conserves the CD’s time by reading researching, and routing correspondence; drafting letters and documents; collecting analysing information; initiating telecommunication.
  3. Maintains the CD’s appointment schedule by planning and scheduling meeting conference and teleconference.
  4. Welcome guests for the CD the by greeting them, in person, screening incoming calls for the CD when so instructed; answering or directing inquiries.
  5. Making travel arrangements for the CD including flight bookings and hotel accommodation
  6. Following up on behalf of the CD with all her direct reports on outstanding assignments and action items.
  7. Represents the CD, when so instructed by CD, at appropriate meetings; speaking for the CD
  8. Organization the CD’s office maintaining her confidential files.
  9. When requested, sitting on the taking combinational notes of meeting that the CD may have with one or more staff.
  10.  Coordinate all details related to events such as meeting, social engagements, corporate gatherings / furcation, etc.
  11. Receive and despatch all mail addressed to and sent by the CD.
  12. Coordinate with all work units and departments in the preparation of reports that emanate from the CD’s office such as, Quarterly reports, Staff’s Learning and Development tracker, staff Retention/ Turnover, Performance Reviews, etc.
  13. Liaise with relevant individuals, external organisation etc.to arrange meeting, prepare agenda and take minutes.
  14. Maintains office supplies inventory for the CD.
  15. Tabulate and retrieve CD’s official expenditures and claim and her monthly time sheet.
  16. Backing up the CD’s laptop on a weekly basis.

Job Requirements:


Bachelor’s Degree in management



  • Minimum 5 years of experiences in administration.
  • Extreme sensitivity to confidential information.
  • Proven ability to work under pressure and to tight deadlines.
  • Fluent in English, Dari and Pushto.
  •  Excellent verbal, written and interpersonal skills.
  • Strong time management skills and propensity to work with a sense of urgency – especially for declines.
  • High level of organisation skills working with large volumes of information.
  • Build positive working relationships with employee at all levels within the organization.
  • Effectively work with minimal supervision.
  • Highly proficient in MS office applications: outlook, word, excel, power point.
  • Ability to work under pressure.
